CLUB AFFLIATION

Affiliation to the Waikato Students Union Incorporated (WSU) affords a club the benefits and services the Union has to offer. Affiliation also means a club is bound by the rules of the Union, contained in the WSU constitution and clubs policies

Process

  1. Clubs must fill out an affiliation form available from WSU reception
  2. The application will then be processed and the affiliation will be put to the WSU Board who will accept or decline the application
  3. A letter will then be sent to the club outlining the Board’s decision

Duties and Obligations 

  • Each Club must affiliate each year 
  • Any affiliation granted by the WSU Board shall be Valid for a period of 12 months from the date of the meeting the affiliation was granted at
  • In order to affiliate to the WSU and remain affiliated clubs will have certain obligations to the WSU

Prior to and during affiliation clubs must:

  • Provide the Clubs Co-ordinator prior to Affiliation copies of: 
    • A list of all members of the club, differentiating between Full and Associate members of the WSU and other club members 
    • A current Club Constitution; 
    • The previous year’s financial reports 
    • An Asset and Equipment Register; 
    • A list of plans and projects for the current year; 
    • A Budget for the current year; 
    • Minutes of the Annual General Meeting and any Special General Meetings held in the last 12 Months 
  • Clubs must have a minimum of 10 members. 
  • Any Club whose annual membership drops below 10 members shall be automatically disaffiliated from the WSU. 
  • At least sixty-six percent (66%) of the office bearers of an affiliated club must be full members of the WSU. 
  • Clubs shall have their membership open without restriction to all members of the WSU 
  • Clubs shall explain on request of the WSU Clubs Co-ordinator why a member of the WSU was expelled from that Club. 
  • Clubs shall provide facilities for all club members who are members of the WSU to vote at its General Meetings. 
  • Clubs shall notify the WSU Clubs Co-ordinator of any changes to its Constitution or aims as an organisation immediately. 
  • Throughout the year clubs will be required to be represented at WSU events e.g., The WSU AGM, Clubs Days, Clinics and student consultations as they arise. 
  • The WSU will not be liable for any debts incurred by the club.
